Salesforce Records Calls Today. Here Is What That Costs Your Org.
Salesforce can record sales calls natively, through Sales Dialer, and the details matter. Salesforce Help states that Sales Dialer call recordings are saved as files in Salesforce, that an hour of recording takes up roughly 15 MB, and that those files count against the same org file storage quota as everything else your company attaches to records. Voicemail is metered harder: users can store up to 20 voicemail messages of two minutes each, also counting toward the files quota, and reps get at most 10 prerecorded voicemail drops. On editions that start at a 10 GB org-wide file allocation, call audio becomes a line item your admin has to manage, and the documented remedy is deleting old recordings.
Sitting above all of that is the notice Salesforce prints on the same pages: Sales Dialer is scheduled for retirement, with no new features or enhancements being added. The recommended path is Salesforce Voice (built on the platform formerly called Service Cloud Voice), a separate contact center product with its own licensing. So the native recording story is a retiring product whose recordings consume your storage quota, with a migration decision attached.
How Kixie Puts Recordings on Salesforce Records
Kixie connects natively to Salesforce Professional edition and above with API access. From there, recording runs itself in three steps.
1. Every Call Records Automatically
All inbound and outbound calls on a Kixie number record by default, on any device, with no per-call toggle for a rep to forget. Consent tooling is built in, including a pre-recorded consent message that can play on inbound calls before recording begins.
2. The Recording Rides the Logged Call Task
Kixie logs each call to the matching Salesforce Lead or Contact as a properly typed call Task, and the recording link attaches to that Task. Because activity syncs upward from the lead or contact to the Account and Opportunity, a manager working an open Opportunity sees every recorded call that touched the deal on its timeline, in order, next to the emails and stage changes around it. That plumbing is the same engine behind Kixie’s automatic call logging for Salesforce, so a recording never arrives as a bare link; it sits on a fully logged call with duration, direction, rep, and outcome.
3. Dispositions Turn the Archive Into a Review Queue
Each call carries the disposition the rep picked, logged as a closed Task in Salesforce. That means Salesforce reports and list views can isolate the calls worth hearing, such as connected calls on Opportunities in a late stage, and managers press play on outcomes instead of scrubbing hours of audio.
The Recording Source Salesforce’s Own AI Is Waiting For
Einstein Conversation Insights does not record calls. Salesforce’s documentation is explicit: you must connect at least one compatible recording provider before ECI can analyze anything, and the house provider on that list, Sales Dialer, is the product carrying the retirement notice. ECI is also an add-on purchase unless your edition includes it. Kixie collapses that dependency stack: Kixie is the recording source and the intelligence layer at once, feeding recorded calls into conversation intelligence for Salesforce for transcription, keyword tracking, and AI call summaries synced onto the Salesforce activity record.
Storage, Playback, and Consent
Kixie recordings live in Kixie’s cloud with included cloud storage, so call audio never draws down your Salesforce org file quota, and the playback link stays on the logged call Task where your team already works. On consent, US law varies by state between one-party and two-party consent. Kixie supplies the tooling; your team owns its compliance policy and legal review.
What You Need Before You Start
- Salesforce Professional edition or higher with API access: Kixie connects in one click, no middleware. Your admin exposes the Task Type field via Field Accessibility so calls log as typed call Tasks rather than generic ones.
- A Kixie account: recording works on any device that calls through your Kixie number, including every parallel conversation in a multi-line PowerDialer session for Salesforce.
- A consent policy: decide how your team handles two-party consent states before the first recorded call.
Most teams have their first recorded call on a Salesforce record within minutes of connecting. See the full Salesforce integration overview for everything beyond recording: power dialing, SMS, automatic lead creation, and workflow-triggered automation.
