Pipeline CRM Knows Who to Call. Kixie Makes the Calls.
Most Pipeline CRM teams already know who needs a call today: new people from the website, deals that moved into a stage like Proposal, leads from a source that converts well. Dialing them one at a time from the record is slow, and it is easy to skip the tenth lead on the list. Kixie’s PowerDialer works through the list for the rep, and the Kixie integration logs each call back to Pipeline CRM so nothing is lost.
The connection between the list and the dialer is Zapier. Pipeline CRM supplies the trigger, Kixie’s Add to PowerList action puts the lead in front of your reps, and reps dial from Kixie.
Build the List From Pipeline Events
Pick the Pipeline CRM trigger that matches how you work. New Person catches fresh leads and can filter by source and status. New Deal adds people when an opportunity opens, filtered by status, source, or stage. Moved Deal fires when a deal changes stage, which suits follow-up lists like everyone who reached Proposal this week. Then add Kixie’s Add to PowerList action with the PowerList ID from Manage, PowerLists in the Kixie dashboard.
Map the fields reps need. Kixie accepts up to 5 phone numbers per contact, plus name, email, and a Next Call Refresher note the rep sees before the call. Set Duplicate Handling to Merge or Ignore so a person who triggers twice is not dialed twice.
Dial at the Right Pace
Reps log in and click Start Dialing. The Multi-Line PowerDialer dials up to 4 lines at a time, and the Single-Line plan dials one. Admins set the pace per list with Dial at a Time, a minimum wait before retrying a number, and daily max attempts. When several Pipeline triggers feed separate lists, priorities decide the order. Reps dial every eligible number in Highest priority lists before moving down, so new leads from the website come before an older nurture list.
Dispositions keep the lists moving. A rule can remove a contact after an outcome like Not Interested, or forward it to another PowerList or a Kixie Cadence for timed follow-up.
Take Closed Deals Out
A list that keeps calling customers who just signed is worse than no list. Pipeline CRM’s Zapier app has dedicated Deal Won and Deal Lost triggers. Pair either with Kixie’s Remove From All PowerLists action, which needs only the phone number, and the person leaves every Kixie list once the deal closes.
A Typical Setup
A common pattern uses three lists. A Highest priority list catches New Person from web forms, with one dial attempt before Next PowerList sends the contact to a High priority follow-up list. A Medium list fed by Moved Deal holds deals that reached Proposal. Standby Mode keeps reps ready, so when a new web lead lands in the top list, the next available rep dials it right away. Deal Won and Deal Lost clean all three.
Every Dial Comes Back to Pipeline
This is where Pipeline CRM differs from tools that need a custom logging build.
