One Click Leaves the Voicemail, Pipedrive Sends the Email
Most dials into a Pipedrive list end at an answering machine. Kixie treats that moment as a trigger instead of a dead end. When AI answering machine detection identifies the machine, the rep clicks once: the pre-recorded voicemail plays into the prospect’s inbox, the dialer moves to the next contact, and Kixie logs a completed Voicemail activity plus a disposition on the Pipedrive Person, mirrored to the linked Organization and Deal.
That logged activity is what makes the Pipedrive version of this feature different. Because the drop lands as a real, completed Pipedrive activity, a Pipedrive Automation can catch it and fire Pipedrive’s native send-email action from the rep’s synced inbox. The prospect gets the voicemail and a matching email within about a minute, both touches sit on the same Deal timeline, and neither one required the rep to stop dialing. One click from the rep, two touches for the prospect, zero manual logging. Pipedrive Automations are available on the Growth plan and above, so check your tier before building the follow-up.
What Manual Voicemails Cost a Pipedrive Team
Pipedrive has no native voicemail drop. The retired Caller’s documentation never listed voicemail drop, and Pipedrive’s own knowledge base states there is no built-in calling today. That leaves reps working a Pipedrive list with two bad options at the beep: hang up, which leaves no trace in Pipedrive at all, or recite the same 30 second pitch live for the fortieth time that day, which burns 30 to 60 seconds per unanswered call. At 50 voicemails a day, one-click drops recover 25 to 50 minutes per rep, and every prospect hears the polished take instead of the tired one.
Voicemail Drops Become Pipedrive Data
Kixie logs through custom activity types your Pipedrive admin adds once during setup, including Voicemail and Disposition. From there the drops behave like any first-class Pipedrive object:
Report on Drops in Insights
Because each drop is a completed activity with its own type, Insights can chart voicemail volume by rep, by pipeline, or by time period, right alongside answered calls. Managers see who is actually working the list without asking for notes. The same automatic call logging engine handles the Person, Organization, and Deal mirror, including the tiebreak when a Person carries multiple open deals.
Segment With Filters
Filters can key on Voicemail activities and dispositions, so you can build a live segment like “two voicemail drops, no connect, no reply” and feed it back into the next calling block or a different message entirely.
One Setup Tip
Kixie’s activity types will appear on the Pipedrive calendar unless you uncheck them in Calendar Sync. Do that once during setup and drops stay in reporting without cluttering anyone’s schedule.
Built for PowerDialer Sessions
Voicemail drop earns its keep inside the Pipedrive power dialer. Kixie dials your Pipedrive contacts on multiple lines in parallel, connects reps only to live answers, and turns every machine into a one-click drop instead of dead time. Dial straight from a Pipedrive list view and each call syncs to the exact record you dialed, so the Voicemail activity lands on the right Person even when numbers repeat across contacts.
Scripts, Rotation, and an Honest Expectation
Record more than one message. A cold list, a demo no-show list, and a stalled-deal list deserve different 20 to 30 second scripts, and rotating messages keeps repeated attempts at the same prospect from sounding robotic. Reference the email your Automation is about to send, since the prospect will see both within a minute.
And the honest part: voicemail drop does not guarantee callbacks. Most voicemails go unreturned no matter who leaves them. What the feature reliably delivers is recovered rep time, a consistent message, and a logged Pipedrive activity that your Automations and outbound cadences can build the real follow-up on. The callback, when it comes, usually comes from the sequence, not the single message.
Voicemail drop is also not ringless voicemail. The drop happens on a real outbound call that rang and went unanswered. Ringless voicemail inserts a message without the phone ringing, and the FCC ruled in 2022 that ringless voicemail to mobile phones is a call under the TCPA requiring prior consent. Kixie’s Voicemail Drop keeps you on the live-call side of that line.
Getting Started
Connect Kixie to Pipedrive, have your admin add the Kixie activity types, record your first voicemail, and load a Pipedrive list into the dialer. Then build one Pipedrive Automation: trigger on the voicemail activity or disposition, action send email. Your next unanswered dial becomes two logged touches in under a minute. See the full Pipedrive integration overview for everything beyond voicemail, including SMS, screen pops, and deal-stage automation.
