New Items Should Not Wait on the Board
Plenty of teams use monday.com as the landing spot for inbound leads. A web form creates an item, it shows up in the New group, and someone is supposed to call. On a busy day that someone is in a meeting, and the lead sits. The first minutes after a form fill are when the person is most likely to answer, which is why speed to lead matters more than any script.
Kixie turns the new item into a call attempt right away. The pieces are monday’s instant Zapier trigger and Kixie’s Make a Call, Send SMS, and Add to Cadence actions.
Pick the Trigger
New Item in Board is the natural starting point. Zapier lists it as instant, so the Zap runs as soon as the item is created on the board you choose. If leads only become callable later, use Item Moved to Group, for example into a Qualified group, or Specific Column Value Changed in Board on a status column. Both are instant too. Add a Zapier filter if only some items should get a call, such as leads from one source column.
Put the Call in Motion
Kixie’s Make a Call action rings the rep’s PowerCall dialer first. When the rep picks up, Kixie dials the lead, so the rep never waits on a ring that goes nowhere. The Action Display Name tells the rep why the call is happening, such as New web lead from the pricing page.
Choose who gets the call. You can enter one rep’s Kixie email, or keep a column on the board with the owner’s Kixie email and map it. For round robin, set the Action Type to Queue and enter a Kixie Queue ID, and the next available rep on that queue takes the call. You can also skip the instant call and add the lead to a Highest priority PowerList, so the next dialing session opens with it.
Follow Up With Texts and Cadences
A lead who misses the first call often answers a text. In the same Zap, add Kixie’s Send SMS action to text from the rep’s number, or Send a Team SMS to text from a shared inbox your team answers together. For leads who stay quiet, Add to Cadence enrolls them in a timed series of calls and texts, with target hours in the lead’s local time zone and caps on how many messages they get in a day. A call outcome can end the Cadence once the lead responds.
Handle After-Hours Leads
Not every item arrives while reps are at their desks. An instant call at midnight rings no one. Add a Zapier filter or a schedule step so leads outside business hours skip the call and go straight to a Cadence or a Highest priority PowerList instead. The Cadence waits for target hours in the lead’s local time zone, and the PowerList puts them first when the team logs in.
Keep the Board Current
With Kixie’s custom monday.com integration connected, these calls log to the item on your connected board with the recording, the rep’s notes, and the outcome, like every other Kixie call. The monday.com setup guide covers that setup and the webhook route for other boards.
Speed to lead works best as a system. The instant call handles the first minutes, a Cadence handles the next few days, and the monday.com power dialer works through everything else. For every other way the tools connect, see the Kixie and monday.com integration overview.
