The Board Knows Who to Call. Kixie Makes the Calls.
A monday.com sales board already answers the question every rep asks in the morning: who do I call today? New items from a web form, items that moved into a Follow Up group, leads whose status changed to Qualified. Dialing them one at a time is slow, and the tenth lead on the list is the one that gets skipped. Kixie’s PowerDialer works through the list for the rep.
The bridge between the board and the dialer is Zapier. monday.com supplies the trigger, Kixie’s Add to PowerList action puts the item in front of your reps, and the calls come back to the board through Kixie’s custom monday.com integration.
Build Lists From Board Events
Pick the monday trigger that matches how your board works. New Item in Board catches fresh leads the moment they are created. Item Moved to Group suits boards where groups are stages, so everything moved into Follow Up gets a call. Specific Column Value Changed in Board watches one column, such as a status set to Qualified. Zapier lists all three as instant.
Then add Kixie’s Add to PowerList action with the PowerList ID from Manage, PowerLists in the Kixie dashboard. Map the phone column, the item name, and email. Kixie accepts up to 5 phone numbers per contact and a Next Call Refresher note the rep sees before dialing, a good place for the item’s last update. Set Duplicate Handling to Merge or Ignore so an item that triggers twice is not dialed twice.
Dial at the Right Pace
Reps log in and start dialing. The Multi-Line PowerDialer dials up to 4 lines at a time and connects the rep to whoever answers. The Single-Line plan dials one. Admins set the pace per list with Dial at a Time, the wait before retrying a number, and daily max attempts. When several triggers feed separate lists, priorities decide the order, so new inbound items come before an older nurture list.
Dispositions keep lists moving. A rule can remove a contact after an outcome like Not Interested, or forward it to another PowerList or a Kixie Cadence for timed follow-up.
Take Closed Items Out
A list that keeps calling customers who just signed is worse than no list. Use Specific Column Value Changed in Board on your status column, filter for values like Won or Lost, and add Kixie’s Remove From All PowerLists action. It needs only the phone number.
A Typical Setup
A common pattern uses three lists. A Highest priority list catches New Item in Board from your web form, with one dial attempt before a Next PowerList rule sends the contact to a High priority follow-up list. A Medium list fed by Item Moved to Group holds items that reached a stage like Proposal. The status-change Zap cleans all three when an item closes.
Calls Come Back to the Board
With the custom integration in place, PowerDialer calls log to the matching item on your connected board with the recording, the notes typed in the dialer’s CRM Notes section, and the call outcome. The monday.com call logging page covers setup and the one-board rule.
Two things stay outside that sync. Follow-up scheduling is set in monday directly. And if you want an outcome to change a status column, or you dial items from more than one board, a Kixie webhook sent to Zapier or Make can update the item with monday’s Update Item action.
