Zoho Records Calls Today. Here Is Where the Recordings End Up.
Zoho can record sales calls natively, through two different products, and the details matter. Zoho CRM’s built-in telephony records calls when an admin enables it, per inbound call flow and per user for outbound, and Zoho’s help documentation is specific about the allowance: each organization gets 1,000 minutes of free recording storage, and if the limit is exceeded, new recordings will not be saved. Extending it is a monthly credit charge on the telephony wallet, and the documented cleanup option is auto-deleting recordings three or six months after they were made. For a sales team producing hours of recorded conversation a day, 1,000 minutes is a few busy afternoons, and the failure mode is silent: the calls after the cap simply are not there.
The second path is Zoho Voice, Zoho’s own cloud PBX, which records calls without that CRM allowance but bills recording and storage per minute in Voice credits on top of a Voice plan. Its CRM integration posts the call log and disposition to Zoho CRM, while the recordings themselves are managed in the Voice app’s Logs module. Deal reviews happen on the Lead, the Contact, and the Account, and a separate phone system seat plus a storage meter is a lot of overhead to get recordings there.
How Kixie Puts Recordings on Zoho Records
Kixie connects to Zoho CRM as a native PhoneBridge telephony provider, on any paid Zoho edition with API access enabled. From there, recording runs itself in three steps.
1. Every Call Records Automatically
All inbound and outbound calls on a Kixie number record by default, on any device, with no call flow checkbox or per-user toggle for an admin to maintain. Consent tooling is built in, including a pre-recorded consent message that can play on inbound calls before recording begins.
2. The Recording Rides the Closed Task on the Right Record
Kixie logs each call to Zoho as a Closed Task with the recording link attached. When a rep click-to-calls from a Lead, Contact, or list view, DirectSync files that Task on the exact record they dialed from; every other call is matched to the right Lead or Contact by phone number, with Contacts taking priority. Activities synced to a Contact also mirror to its Account, so a manager reviewing an account opens it and hears every recorded call that touched it, in order, next to the notes and outcomes around it. That plumbing is the same engine behind Kixie’s automatic call logging for Zoho, so a recording never arrives as a bare link; it sits on a fully logged call with duration, direction, rep, and outcome.
3. Dispositions Turn the Archive Into a Review Queue
Each call carries the disposition the rep picked, logged on the Closed Task. Zoho views and reports can key on those outcomes, so managers press play on the calls that matter, like connected calls from yesterday’s outbound block, instead of scrubbing hours of audio.
Storage That Is Not a Meter
Kixie recordings live in Kixie’s cloud with included cloud storage. Call audio never counts against Zoho file storage and never hits a minutes cap that quietly stops saving new recordings, and the playback link stays on the Zoho activity where your team already works. Past conversations remain available for coaching, disputes, and compliance review instead of being purged to fit an allowance.
Recordings That Feed the AI Layer
Recorded calls are also the raw material for coaching at scale. Every Kixie recording feeds conversation intelligence for Zoho, which adds transcription, keyword tracking, and AI call summaries on top of the audio, synced to the Zoho activity record regardless of which Zoho CRM edition you run.
What You Need Before You Start
- A paid Zoho CRM edition with API access enabled: Kixie connects through Zoho’s native PhoneBridge telephony channel, no middleware.
- A Kixie account: recording works on any device that calls through your Kixie number, including every parallel conversation in a multi-line PowerDialer session for Zoho.
- A consent policy: decide how your team handles two-party consent states before the first recorded call.
Most teams have their first recorded call on a Zoho record within minutes of connecting. See the full Zoho integration overview for everything beyond recording: power dialing, SMS, workflow-triggered automation, and more.
