The First Few Minutes Decide the Lead
A new lead in Close usually means someone just filled out a form, booked a trial, or replied to an ad. Right now they remember why. An hour from now they are in a meeting, on another vendor’s site, or simply less interested. Close can create a task or send an email the moment the lead arrives. Kixie’s job is to put an actual call in motion in that same moment, so the first human contact happens while the lead still cares.
Kixie does not have a native Close connector, so this runs through Zapier or your own code. Close supplies the trigger and Kixie supplies the call. Here is how the pieces fit.
Pick an Instant Trigger
Close has several Zapier triggers, and they are not equal for this job. New Lead, New Contact, and New Lead in Status are instant, so the Zap runs as soon as Close records the change. New Lead in Smart View is a polling trigger that runs on your Zapier plan’s schedule, which is fine for building dialing lists but adds exactly the delay you are trying to remove. Start with New Lead for inbound forms, or New Lead in Status if you only want to call leads once they reach a status such as Qualified.
Ring a Rep, Then the Lead
Add Kixie’s Make a Call action. Kixie calls the Kixie rep first, and once the rep picks up, it dials the lead. Use the Action Display Name to tell the rep why the phone is ringing, for example New Close lead: demo request. The rep answers already knowing the context.
Choose who takes the call. You can set one rep’s email, let Close’s Select Random User action pick a rep in the Zap, or set the Action Type to Queue and send the call to a Kixie call queue. The queue option is often the best fit for teams, because the next available agent assigned to that queue takes the call instead of waiting on one person.
Plan for the Missed Call
Most first dials do not connect, so build the second step into the same Zap. Kixie’s Add to Cadence action enrolls the lead in a speed to lead sequence of timed calls and texts. Cadences retry calls when the rep is unavailable, run only during the hours you set, reach the lead only during their own local target hours, and follow harassment rules that cap calls and texts per day.
If your reps work lists, add the lead to a Highest priority PowerList instead. Reps dial higher priority lists first, and reps in Standby Mode dial new numbers as soon as they land. Stop When You Connect
Follow-up should end once the lead is reached. In the Cadence, add a disposition rule so an outcome like Connected stops the Cadence, or forwards the lead to a nurture Cadence. From the Close side, a New Lead in Status Zap with Kixie’s Remove From Cadence action ends the sequence when the status changes.
