Workflows Automate Everything Until a Human Has to Dial
A GoHighLevel workflow can do almost anything to a contact: apply a tag, move an opportunity, book an appointment, fire off an email. The step it cannot finish is the live phone call. The closest native option is the Manual Action to Call step, which queues the call as a manual action in the rep’s Conversations tab. That queue is real, but it is single line: the rep opens it, dials one contact, sits through the rings, marks a disposition, and clicks to the next. GHL’s custom dispositions can trigger follow-up workflows afterward, but nothing dials the list in parallel, so when a busy workflow feeds it, manual call actions pile up faster than anyone works them down.
Kixie’s native HighLevel integration closes that loop with five Kixie actions inside GHL’s own workflow builder: Add to PowerList, Send SMS, Send Team SMS, Remove from PowerList, and Remove from All PowerLists. Recipe 1: The New-Lead Blitz
Trigger: a form is submitted. The workflow’s Add to PowerList action pushes the contact into a dedicated new-leads PowerList, with field mapping so the rep sees the name, company, and form answers in the dialer detail view. Reps working that list on the multi-line PowerDialer for GoHighLevel reach fresh leads within minutes of the submit. On a connected outcome, the disposition logs to the contact’s Conversations, a GHL workflow watching for it advances the opportunity to the next pipeline stage, and Remove from PowerList pulls the lead out so nobody re-dials a live conversation. Recipe 2: No-Show Recovery
Trigger: appointment status changes to no-show. Two Kixie actions fire in the same workflow: Add to PowerList drops the contact into a same-day recovery list, and Send SMS texts them from the assigned rep’s own Kixie number, with personalization tokens keeping the message human. The lead gets a text from the person they were supposed to meet, then a call from that same number. When a rep connects and rebooks, the answered outcome removes the contact from the recovery list and the new appointment resets the status in GHL.
Recipe 3: Database Reactivation
Trigger: a reengage tag is added, whether by a smart-list cleanup, a workflow watching last-activity dates, or a rep flagging an old opportunity. Add to PowerList feeds a reactivation list that reps work as a slow-drip calling block between hotter tasks, and Send Team SMS follows up from a shared Team SMS inbox so replies land where the whole team can answer them. When a conversation restarts, the outcome triggers a stage change on the opportunity and the contact leaves the list. Dead database, working pipeline, no CSV exports.
The Rules That Keep Recipes Honest
Kixie recipes are calls and texts only; email steps stay in GHL, where your templates and deliverability settings already live. PowerLists are fed by workflow actions rather than a direct smart-list sync, so the pattern is always trigger first: any workflow trigger, which can watch a smart-list segment through the tags and stages that define it, pushes contacts into a PowerList the moment they qualify. Each action can target the primary phone field or a custom phone property, and every call, text, disposition, and note logs back to the Conversations section on the GHL contact.
